Banking and reconciliation

Imported bank and card transactions begin as source records for review. They do not silently become books.

Bring in transactions

  1. 1

    Connect or import

Use Plaid for supported institutions. Use the CSV preview and mapping when a reliable connection is unavailable.

  2. 2

    Sync changes

Provider-added, modified, and removed items update the review record while preserving source history.

  3. 3

    Review warnings

A likely Stripe payout or provider-changed source needs matching, not a generic revenue category.

Clear the review queue

  • Match a bank item to an existing sale payout, bill payment, payroll debit, or other source.
  • Categorize a genuine new income or expense when no dedicated source exists.
  • Split one bank transaction across supported accounts when the source is genuinely mixed.
  • Mark movement between shop-owned accounts as a transfer.
  • Exclude only duplicates or non-book items, with a reason.

Reconcile a statement

  1. 1

    Enter statement facts

Use the statement ending date and exact ending balance.

  2. 2

    Mark statement transactions cleared

Resolve missing, duplicate, or incorrectly dated items from the source records.

  3. 3

    Reach a $0.00 difference

The reconciliation cannot complete while the cleared book balance differs from the statement.

  4. 4

    Complete and retain

Completion locks the evidence and creates an audit event.

Still unsure?

Pause before posting, approving, refunding, or moving money. Ask the owner or the role responsible for that workflow to review the source record with you.
