Buylist and acquisitions

The buylist separates a customer’s submission and quote from the later inventory acquisition and payout.

Review and quote a submission

    Inspect the submitted items

    Confirm identity, condition, quantity, and whether each item is one the shop wants.

    Record the shop’s offer

    Enter the quote and payout method the shop is actually offering. Keep internal notes factual.

    Track the decision

    A quote is not inventory. Move forward only after the seller accepts and the shop receives the items.

Receive an accepted buylist

    Confirm final items and cost

    Use the accepted payout allocation as the acquisition cost for the received lots.

    Create the acquisition

    Receive each item into a specific-identification or FIFO lot as appropriate.

    Record the payout

    Cash or bank payout reduces that asset. Store-credit payout creates a liability until the customer spends it.

Why quoting and receiving are separate

A submission can be declined, changed, or abandoned. Inventory and accounting should begin only when the shop controls the physical cards and owes or has delivered the agreed payout.
